Sales to Customer Success Handoff: A Template That Sticks

Blip AI Team6 min read

Why sales to customer success handoffs break, and fixes that last: required deal fields, a 15-minute handoff call, a customer-confirmed recap, a short template.

Quick answer: A sales to customer success handoff works when it costs sales almost nothing and can't be skipped. Make five fields required before a deal can close (goals, promises with dates, contacts, risks, why they chose you), hold a 15-minute recorded handoff call, and send the customer a short recap to confirm. Their reply becomes the record.

Why sales to CS handoffs break

The pattern is familiar. The account executive closes the deal, leaves a few notes in the CRM and moves on. Customer success gets a contract, some call recordings, and a customer asking about things that were apparently promised. Half the kickoff call goes on working out what was actually agreed.

A thread in r/CustomerSuccess this week asked why sales to CS handoffs are still such a mess, and the replies agreed on the cause: nobody owns the handoff doc. It's extra work at the moment sales cares least. The AE is paid on the close and already working the next deals. CS is measured on renewals, so CS ends up doing the cleanup.

That's why "make a better handoff template" rarely fixes anything. The template isn't the problem. Getting it filled in is.

Fixes that actually survive

The approaches that teams in the thread said lasted all have one thing in common: they make the handoff required, or nearly free for sales.

  • Required fields before closed won. Put the handoff questions on the deal itself and make them required at the closed-won stage. In HubSpot, conditional stage properties can show set properties when a deal moves to a stage, and a property marked required has to be filled in before the record can be updated. Some teams go further and tie commission payout to a completed handoff.
  • A 15-minute handoff call instead of a doc. Salespeople are usually better at talking than at filling in forms. A short, recorded internal call where the AE walks through what was promised, with a standard list of questions, often captures more than a document would.
  • The AE joins the kickoff for 15 minutes. The customer hears the promises restated by the person who made them, and the CSM can ask follow-up questions on the spot.
  • A customer-confirmed recap. Right after the last sales call, send the customer two or three lines summarizing what they're buying and what happens next, and ask them to correct anything that's wrong. Their reply is the most reliable handoff record you'll get, and it costs the AE almost nothing to write.

Recordings and AI call summaries help, but they don't replace the handoff. CSMs in the thread pointed out the catch: "just check the recording" means the answer is buried somewhere in hours of calls, and some AEs put in less effort once summaries exist.

What to put in the handoff: a short template

Keep it short enough to finish in five minutes. Long templates are why handoff docs die.

Account: [name], [plan], start date [date]
Champion: [name, role] Decision maker: [name, role] Other users: [names]

Why they bought: [the problem, in their words]
Why us over the alternative: [who else they looked at, and what tipped it]

Promises made (each with a date and owner):
- [feature, integration, discount or timeline] by [date], owner [name]

Success in 90 days looks like: [their measurable goal]
Risks: [budget, champion leaving, technical fit, anything said in passing]
Questions they asked more than once: [list]

Two lines in that template matter most later on, not at kickoff:

  1. Why us over the alternative. Three months in, at the first renewal conversation, the CSM needs to know what the customer valued enough to choose you. If the CSM has to ask the AE, the handoff failed.
  2. Questions they asked more than once. These are what the customer believes they bought. One CSM in the thread suggested opening the kickoff with exactly those questions.

How to run the first week after the handoff

  1. Read the confirmed recap and the template before the kickoff, then check anything unclear against the call recording.
  2. Open the kickoff by restating the promises and dates. If anything is wrong, it's cheaper to correct now than at renewal.
  3. Send a kickoff recap the same day with goals, next steps and owners. Our guide to writing a customer call recap email has a template.
  4. Turn the promises into tracked tasks with dates, so they don't live only in a document.

Before later check-ins and renewal calls, the same habit applies: build a short brief from what changed. See how to prepare for a customer call.

How Blip AI makes the handoff faster to write

The fixes above work because they make the handoff close to free for sales. Blip AI lowers the cost further by turning talking into text, wherever the handoff lives.

  • Say the handoff instead of typing it. Right after the closing call, click into the HubSpot or Salesforce field, hold Fn on Mac, Ctrl + Win on Windows or Ctrl + Super on Linux, and say what was promised and why they bought. Let go and clean text appears, with filler words removed and punctuation fixed. Speech runs at about 150 words per minute, against about 52 for the average typist.
  • Draft the customer recap. In Gmail, start with "Hey Blip" and describe the email: "recap what they're buying, the SSO integration by March 1, and ask them to correct anything wrong." Action Mode drafts it instead of transcribing word for word. With Personalized Blip, it signs off with your name and follows your own writing rules.
  • Get names right. Add customer, product and integration names to Blip's dictionary so they're spelled correctly every time.

Blip works in any app with a text field, including CRMs in the browser, Slack and Gmail. The free plan includes 2,000 words a month. Download Blip AI for Mac, Windows or Linux.

FAQ

What should be included in a sales to customer success handoff? A sales to customer success handoff should include the champion and decision maker, why the customer bought, why they chose you over the alternative, every promise with a date and owner, what success looks like in 90 days, known risks, and the questions the customer asked more than once.

Why do sales to CS handoff documents get skipped? Handoff documents get skipped because they're extra work for sales at the moment sales has the least reason to do them. The AE is paid on the close, while CS is measured on renewals, so the documentation falls through the gap unless it's required or very quick.

How do you get sales reps to complete handoff notes? Make the handoff fields required before a deal can be marked closed won, keep the template to a few minutes of work, or replace the document with a 15-minute recorded handoff call. Some teams also tie commission payout to a completed handoff.

Should sales join the customer kickoff call? Having the account executive join the first 15 minutes of the kickoff works well. The customer hears the promises restated by the person who made them, and the CSM can clear up questions immediately instead of chasing the AE later.

Can AI call summaries replace the handoff? AI call summaries help the CSM find details, but they don't replace a short handoff. The key facts, such as promises with dates and why the customer chose you, still need to be stated plainly, ideally confirmed by the customer in writing.
