How to Write a Customer Call Recap Email People Read

What to put in a customer call recap email

  1. One line on the goal of the call. "We got your workspace set up and connected your CRM."
  2. What was decided. Plan, scope, dates, who owns what. This is the part you'll point back to in three months.
  3. The steps you walked through, each with a link. One line per step and a link to the help article that covers it. That link is what saves the follow-up email.
  4. Open items and next steps. Who does what, by when. Include your own items.
  5. The recording, last. As a backup, not the main event.

Keep it short enough to read on a phone. If it's longer than one scroll, move the detail into the linked articles.

How to stop answering the same questions after every call

  • Answer with a link, every time. When the repeat question comes in, answer it and include the help article: "Here's the article for next time." Over time customers go to the help center first.
  • Count the repeats. One commenter's suggestion: write the answers down, then count the emails for a month. Whatever still comes in is where your docs are unclear.
  • Write the article once. The second time you answer something by email, it should become a help article or a saved reply.
  • Split long calls by topic. One person said separate shorter calls, each with its own recap linking to the right section, cut down the "where did you explain that?" emails.

Use the transcript, not the video

If you record on Zoom, you can have it write a transcript for you. Zoom's audio transcription works on cloud recordings for Pro, Business, Education and Enterprise accounts.
